As a Project Support Coordinator, you will play a crucial role in ensuring the smooth execution of our projects by efficiently matching resources, maintaining project workflows, and providing invaluable administrative support to the project team.

Responsibilities:

As the Project Support Coordinator, your responsibilities will include:

  • Transport Logistics: Schedule Sparq vehicles, source & schedule external hire vehicles, ensure weight/height limits are considered, and research/book vehicle parking.
  • Staff Management: Schedule Sparq staff, considering working hours, and source/book external staff, including freelancers, crew, and drivers.
  • Travel and Accommodation: Book and organise all company travel and accommodation for project-related activities.
  • Equipment Management: Source and book necessary equipment for projects.
  • Freelancer Database: Maintain the freelancer database, ensuring it's up-to-date with key documentation.
  • Capacity Management: Anticipate busy periods and proactively book extra resources in advance.
  • Digital Project Job Files: Create and manage digital project job files.
  • Financial Management: Ensure external resources receive purchase order numbers, and costs are up-to-date on Project Cost Sheets.
  • Supplier Liaison: Liaise and negotiate with suppliers, venues, and service providers.
  • Vehicle Maintenance: Schedule Sparq vehicle maintenance/servicing bookings, alongside our Facilities & Fleet Operative.
  • Vehicle Tracker System: Responsible for maintaining the vehicle tracker system.
  • Courier Management: Organise couriers for the collection and return of equipment.
  • Ad-Hoc Duties: Perform other ad-hoc duties as required to support the project team.

About You:

To excel in this role, we are looking for someone who possesses the following qualities:

  • Professional and Friendly: You have a tenacious yet friendly approach to work, balancing the pursuit of required information from colleagues with mindfulness of the demands on our busy teams.
  • Process-Oriented: You can quickly develop an excellent understanding of in-house processes, and systems such as HireHop, TeamTrack, and HubSpot CRM.
  • Effective Communicator: You have excellent communication skills, both written and verbal, with a keen eye for detail and accuracy.
  • Self-Motivated: You are a self-starter who can take direction from line managers and work independently to achieve tasks.
